Terms & Conditions – Hideaway Safaris & Expeditions

1. Booking & Confirmation
   • A 30–50% deposit is required to confirm your safari package.
   • The balance must be paid in full at least 14 days before departure.
   • Bookings made within 14 days of travel must be paid in full at the time of reservation.
2. Payment Methods
   • Payments can be made via:
   • Bank transfer
   • M-PESA (Kenya clients)
   • Credit/debit card (on request)
   • USD cash (in person)
   • All bank charges or currency exchange fees are the client’s responsibility.
3. Cancellation & Refund Policy
   • 31+ days before travel: 80% refund (20% retained for admin)
   • 15–30 days: 50% refund
   • 7–14 days: 25% refund
   • Less than 7 days: No refund

No refunds for no-shows, unused services, or early departures.

4. Amendments to Bookings
   • We allow free changes up to 30 days before departure (subject to availability).
   • Changes within 30 days may incur additional charges (e.g., hotel, flight fare difference).
   • Safari dates can be postponed once without penalty if notified at least 21 days in advance.
5. Travel Documents & Insurance
   • Clients are responsible for:
   • Valid passport and visa
   • Travel and medical insurance
   • Vaccinations (e.g. yellow fever if required)
   • COVID-related travel requirements (if applicable)
6. Safari Vehicles & Game Drives
   • Game drives are done in custom 4×4 Land Cruisers or safari vans with open roofs.
   • Vehicle allocation is based on group size and package level.
   • In rare cases of mechanical breakdown, a replacement vehicle will be arranged.
7. Wildlife & Nature Disclaimer
   • Wildlife sightings cannot be guaranteed.
   • Our guides do their best to maximize sightings through experience and tracking.
   • All guests must follow guide instructions for safety in wildlife areas.
8. Luggage Restrictions
   • For fly-in safaris, soft bags are recommended.
   • Weight limits: 15–20kg per person (including hand luggage) for bush flights.
9. Force Majeure
   • Hideaway Safaris & Expeditions is not liable for delays, cancellations, or losses due to:
   • Natural disasters
   • Political unrest
   • Pandemics
   • Airline or third-party service failures

In such cases, we will reschedule your trip or offer a credit note valid for 12 months.

10. Liability Disclaimer
    • We act only as agents for hotels, airlines, and other third-party providers.
    • We are not responsible for loss, injury, damage, delays, or expenses beyond our control.
    • Clients participate in safaris at their own risk.
11. Child Policy
    • Children are welcome on our safaris.
    • Special child rates apply depending on age and accommodation.
    • Child-friendly itineraries are available upon request.
12. Photo & Media Consent
    • We may use photos taken during your safari for marketing (unless you opt out in writing).

By confirming a booking with Hideaway Safaris & Expeditions, you agree to these Terms & Conditions.
